This Privacy Policy explains how Plean Éasca (“we”, “our”, “us”) collects, uses, and protects your information when you use our lesson planning platform (the “Service”).

We are committed to protecting your privacy and complying with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.


Definitions

  • "Plean Éasca", "we", "us", "our" — the Service, operated by Racket Software Limited.
  • "Personal Data" — any information relating to an identified or identifiable individual.
  • "Processing" — any operation performed on personal data, including collection, storage, use, or deletion.
  • "Data Controller" — the organisation that decides how and why personal data is used.
  • "Data Processor" / "Sub-processor" — a third party that processes personal data on our behalf.
  • "Applicable Data Protection Law" — the GDPR, the Data Protection Act 2018, and any other applicable data protection law.

1. Who We Are

We act as the Data Controller for personal data processed through the Service.

2. What Data We Collect

2.1 Account & Billing Information

  • Full name
  • Email address
  • School name (optional)
  • Password (managed by our authentication provider, Supabase — we never see or store your password directly)
  • Subscription status, billing history, and payment method reference (card details themselves are held by Stripe, not by us — see Section 8)

2.2 Usage Data

  • Curriculum selections and class-level context you provide (see Section 3 for what you must not include)
  • Generated lesson plans, fortnightly plans, and Cúntas Míosúil entries
  • Feature usage and interactions

2.3 Technical Data

  • IP address
  • Device/browser type
  • Log data (for security and debugging)
  • Language preference (English or Irish)

3. Important Restriction on Personal Data

You must NOT input personal data relating to students or identifiable individuals.

This includes:

  • Names or initials
  • Personal identifiers
  • Medical or psychological details linked to individuals

You may only provide class-level summaries.

We are not responsible for personal data submitted in breach of this rule.


4. How We Use Your Data

We use your data to:

  • Provide and operate the Service
  • Generate lesson plans using AI
  • Store and manage your saved plans
  • Process subscription payments and manage your billing
  • Send transactional emails (e.g. password reset links, payment confirmations)
  • Improve system performance and outputs
  • Monitor usage and prevent misuse

We process your data under:

  • Contractual necessity – to provide the Service and process your subscription
  • Legitimate interests – improving and securing the platform
  • Legal obligation – retaining financial records as required by Irish tax law
  • Consent – where required, e.g. optional preference cookies

6. AI Processing

To generate lesson plans, your inputs are processed by our AI provider, OpenAI. OpenAI processes data on our behalf as a sub-processor.

We take reasonable steps to ensure they meet appropriate data protection standards. See Section 9 for how we handle transfers to providers outside the EU/EEA.


7. Data Retention

We retain personal data only for as long as necessary for the purposes it was collected for, including to comply with our legal and regulatory obligations.

8. Sub-processors (Third Parties)

We engage trusted third-party providers to help deliver the Service. We do not sell your data, and require every sub-processor to handle data securely.

  • Supabase — database, authentication, and account storage (EU-based infrastructure)
  • Stripe — payment processing and subscription billing
  • OpenAI — AI provider used to generate lesson plan content
  • Resend — transactional email delivery (password resets, invitations, notifications)

9. International Transfers

Some sub-processors, including our AI provider, may process data outside the EU/EEA. Where this happens, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses.


10. Security

We implement appropriate security measures, including:

  • Encrypted connections (HTTPS)
  • Access controls
  • Secure data storage

However, no system is completely secure.


11. Your Rights (GDPR)

You have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate data
  • Erasure — ask us to delete your data ("right to be forgotten"), subject to our legal obligations (e.g. financial records)
  • Restriction — ask us to limit how we use your data
  • Portability — receive your data in a structured, machine-readable format
  • Object — object to processing based on legitimate interest
  • Withdraw consent — withdraw consent for optional cookies at any time

12. Cookies

We use cookies and browser storage to keep you logged in and remember your language preference. We do not use analytics, advertising, or third-party tracking cookies.

You can control cookies through your browser settings, though disabling the essential cookie will prevent you from staying logged in.


13. Complaints

You have the right to make a complaint at any time to the Irish Data Protection Commission (DPC). Details of how to raise a complaint are available at www.dataprotection.ie.

We would ask that, where possible, you contact us at admins@racketsoftware.ie first so we can try to resolve any issue directly.


14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via the Service or by email.
